THE POSITION
The Accounts Payable Specialist will ensure that all invoices are processed in a timely and accurate manner. This role involves requires strong attention to detail, organizational skills, and the ability to work in a fast-paced environment. The AP Specialist will review and verify invoices, process payments, manage accounts payable for multiple entities (Staccato, Staccatto Ranch Texas, Longhorn Precision, and Longhorn Ammo), and handling some vendor relations.
KEY JOB DUTIES & RESPONSIBILITIES
• Process, verify, and reconcile vendor invoices in an accurate and timely manner.
• Ensure that payments are processed in accordance with company policies and procedures.
• Review and match purchase orders, invoices, and delivery receipts to ensure accuracy.
• Monitor accounts to ensure payments are up to date and follow up on outstanding invoices.
• Prepare and execute weekly payment runs (e.g., checks, ACH, wire transfers).
• Maintain vendor records and ensure all data is accurate and up to date.
• Reconcile accounts payable transactions and resolve any discrepancies.
• Assist with month-end closing by preparing journal entries and reconciling accounts.
• Collaborate with internal departments to resolve purchase order, contract, and payment discrepancies.
• Prepare and issue 1099s and manage compliance with tax regulations.
• Respond to vendor inquiries and maintain strong relationships with vendors.
• Assist with audits by providing necessary documentation and information.
• Participate in process improvement initiatives to enhance the efficiency of the accounts payable function.
QUALIFICATIONS
In addition to general team member expectations, this role specifically requires the following:
• Bachelor's degree in accounting, Finance, or a related field preferred, but not required.
• Relevant certifications (e.g., Certified Accounts Payable Professional) are a plus.
• Proven experience in an account payable or accounting role.
• Knowledge of accounts payable processes and general accounting principles.
• Proficiency in accounting software and Microsoft Office Suite, particularly Excel.
• Strong attention to detail and accuracy in data entry and financial reporting.
• Excellent organizational and time management skills.
• Ability to work both independently and as part of a team.
• Strong communication and interpersonal skills to work effectively with vendors and colleagues.
• High level of integrity and ability to handle sensitive financial information confidentially.
• Experience with ERP systems (e.g., SAP, Oracle, QuickBooks).
• Familiarity with 3-way matching and purchase order processing.
• Knowledge of tax compliance related to vendor payments.
