Job Summary

The Accounts Payable Specialist is primarily responsible for paying vendors in a timely and accurate manner in accordance with the organization policies & procedures. In addition, the Accounts Payable Specialist is responsible for performing a variety of routine and some non-routine accounting and clerical functions in accordance with standard procedures in Accounts Payable and Cash Receipts.

Essential Duties and Responsibilities

Accounting Payable Related
  • Prepares and distributes the organizations Accounts Payables by established deadlines
  • Approves GL Codes entered by Purchase Order Requesters
  • Prepares Accounts Payable Voucher for Purchase Orders and Check Requests
  • Maintains & Monitors Company Assets and prepares business property statements filings
  • Initiate Vendors Payments along with Method (Check, ACH, Vendor Portal, or Credit Card)
  • Processes and maintain vendor files; and prepares 1099 filings
  • Works in collaboration with the Department Heads to develop, manage, and maintain comprehensive and accurate accounts payable records.
  • Prepares standard and ad hoc expenditure reports and schedules

Qualifications

Education, Skills, and Specifications
  • Requires at least two (2) years of Accounts Payable processing experience.
  • Requires Associates degree in Accounting, Business, or related field from an accredited institution OR a combination of education and related work experience.
  • Able to work well under rigorous deadlines; teamwork oriented; excellent interpersonal and human relations skills and aptitude for communicating across the organization with employees, department managers and directors; demonstrates good organizational and time management skills; detail oriented and thorough; excellent numerical skills and Microsoft Excel skills; skilled in collecting information, analyzing data, and reporting results; understanding of basic accounting principles; understanding of Internal Controls; demonstrate ability to adhere to strict confidentiality.

Special Requirements
  • Must have a reliable automobile for use on the job (mileage to be reimbursed), valid California Driver's License, and state required automotive insurance coverage. COVID-19 Vaccineand Booster required.
