Responsibilities Meet Panasonic Meet the Recruiter: Joe Richie Explore Panasonic Careers Panasonic Video Our Mission: Create Technologies That Move Us Essential Duties: Administration for Leadership Team (support the following) Scheduling & coordinating meetings with Leadership Standard Calendar coordination, scheduling and Management Expense Pay (processing, monitoring, follow up) Travel (account set up, booking, etc.) Assist with scheduling interviews that require members of the Leadership Team Help maintain good working relationships with internal and external individuals/companies/groups (Tesla teams, Hotels, Restaurants, etc.) Help obtain approvals/signatures to contracts, NDAs, etc. Offsite Workshops/meetings and events coordination Ability to maintain confidential schedules, correspondence, conversations, personal info, etc. Visitor Coordination (including by not limited to the following) Hotels Transportation Meals (Breakfast, Lunch and Dinners) Tours - Coordinate with Japan, Production Teams, Workplace and Leadership Schedule Sheet Data management/analysis (data entry and maintains records) Provide directions on booking travel, Expense Pay, and Company Credit Card application to employees. Forward thinking/planning Self-starter Problem solving abilities Always looking on how to improve &/or create processes Other job assigned by leadership Personal Protective Equipment (PPE) Requirements: To ensure the health and safety in the workplace and for the protection of our employees, wearing PPE is a requirement for some roles at PENA and may include equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, bump cap, and a full hazmat suit that includes a respirator. Qualifications Requirements - Required and/or Preferred Education: Basic/Required: High School diploma or equivalent. AA/AS degree (or other 2-year post high school training) Essential Qualifications: Must have a working-level knowledge of the English and Japanese languages, including reading, writing, and speaking of both languages A minimum of 2- 3 years' experience in fast-paced, high volume administrative support, executive assistant, coordinator or similar role. Expert-level written and verbal communication skills, including experience supporting or interfacing with staff. An appreciation for first impressions and a palpable sense of professionalism. Strong computer skills in Word, Excel and PowerPoint to put together proposals, project planning and status updates and executive presentations. Ability to work in a fast pace environment with repeat interruptions. Language Skills: Ability to respond to common inquiries from internal employees and/or external companies, individuals, etc. Ability to effectively communicate, ask questions and present information to Leaders. Japanese language skills are a plus. Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to adjust and learn to work in a fast pace environment with repeat interruptions.
