TITLE: Therapy Front Desk Representative:

It is our goal to provide the finest Orthopaedic care possible. This philosophy requires that all office staff and providers be sensitive and responsive to patients' needs and preferences. To ensure that we hire and retain the quality of staff needed for implementing our philosophy of service, we have adopted the following job description for this position. The position requires that the employee be available approximately forty hours per week and that also the employee be flexible in his/her schedule to provide efficient service for the group and work additional hours as needed. The employee however, will be expected to work no more than five days per week. Many of the responsibilities require that you have a working knowledge of computers and the ability to learn the proper use of the programs utilized in this office, or those that which may be necessary to meet the needs of the practice. The hours, pay scale, and benefits will be defined as shall be agreed to.

BASIC FUNCTION: The Front Desk Representative shall provide the clerical support necessary for the successful execution of the physical therapists' daily activities in the Physical Therapy Department at Arrowhead Orthopaedics.

RESPONSIBILITIES: The duties of the Front Desk Representative are of high volume, and the quality of duties performed is needed to be at a high level. The employe e will come into contact on a daily basis with confidential files pertaining to patients. The Front Desk Representative must be able to handle this information with the highest degree of privacy, discretion, and professionalism. The Front Desk Representative must have excellent customer service and be able to treat patients with the utmost courtesy and respect. The Front Desk Representative is responsible for accomplishing the duties set forth below: General Clerical Activities Front Desk Representative (There may be other duties required of this position not listed below): Answer the main phone line for the Physical Therapy Department using proper phone etiquette. Schedule patient appointments. Collect co-pays. Navigate and utilize the company's electronic medical records software. Create patient charts in said software. Learn and apply HIPAA protocol. Greet patients and assist them with their needs. Obtain authorizations for therapy services before rendered. Pick up and send mail for department. Assist therapists and staff as needed. Perform other responsibilities as may be called upon. Skill Requirements: The ability to type 30 words per minute. Skill in operating a computer as well as software programs including Microsoft Word and Outlook. Telephone etiquette and professional communication skills are required. Must have a pleasant and helpful demeanor, be patient, be a team player, and have the ability to multi-task. Must be able to stay calm in stressful situations. Must be detail oriented and have a high regard for accuracy. Must have knowledge of HIPAA laws. Must be bilingual in Spanish and English. Typical Physical Demands: Requires sitting and walking, with daily occasional stooping, reaching, and bending. Occasional lifting up to thirty pounds. Hearing must be in the normal range for telephone and personal communication. Requires manual dexterity sufficient to operate keyboards and other office equipment.

RELATIONSHIPS: The Front Desk Representative should observe and conduct the following relationships: The employee shall be responsible directly to the Director of Operations for the Physical Therapy Department. The employee shall report to the Director of Operations and his/her assignees any progress, reports, requests, concerns, problems, and/or expectations in relation to the responsibilities of the position. Such communication may be verbal or written as deemed necessary by the employee or as directed by the Director of Operations or his/her assignee. The employee shall interact with other office and clinical staff in the Practice. Such interactions should be collegial, professional, and contributing to the safety and pleasantness of the work environment at Arrowhead Orthopaedics. The employee shall interact with Doctors, licensed physical therapists, students conducting internships, physical therapy aids, the group's own billing department, patients, and other medical groups and insurance companies. Such communication should always reflect the total commitment of the office to quality care and customer satisfaction.
